Privacy Policy

In short: NurseryNote is a school-management app for small Indian preschools. We collect your name, email address and phone number; your child’s school records — fees, homework, leave applications and announcements; a photo of your child if the school uploads one; a photo of you if you add one; and a notification token for your phone. Section 2 is the full list — this paragraph is a summary, not a substitute for it. Your data is seen only by your school’s principal, your child’s teachers, and your family guardians. We don’t sell your data or use it for advertising. You can download your data or ask us to anonymize it at any time. School and academic records are kept while your child is enrolled; personal details are anonymized on request, and automatically 30 days after you delete your account.

1. Who we are

NurseryNote is operated by Jaskanwarpal Singh (sole proprietor; “NurseryNote”, “we”, “us”), based in Mohali, Punjab, India. For any data question, email hello@nurserynote.com. We are the Data Fiduciary for the data described here under India’s Digital Personal Data Protection Act, 2023 (DPDPA).

2. What data we collect

When you use NurseryNote, we collect and store:

  • Profile: your name, email address, phone number, and a photo of you if you choose to add one.
  • School assignment: the school and class you (or your child) belong to.
  • Student records: your child’s name, class, admission number and admission date, homework posts, leave applications, fee-payment history, and holidays observed.
  • Student photos: a photograph of your child, if the school uploads one.
  • Guardian relationships: which parents or family members are linked to which child.
  • Notification state: which announcements you’ve read.
  • Login and device data: the Google account you sign in with (mobile); web-admin login email; sign-in timestamps; the date you accepted this policy; and a notification token identifying your phone, together with the phone’s operating system, so that alerts can reach you.

We do not collect location, contacts, or microphone data. We access the camera or photo library only when you add a profile photo, or when a school user uploads a student photo.

3. Why we collect it

Strictly to run the school’s day-to-day operations:

  • Tracking fee payments and sending gentle reminders when fees are due.
  • Posting homework to the child’s class and notifying parents.
  • Allowing parents to apply for leave on behalf of their child.
  • Announcing holidays and school events.
  • Managing guardians so both parents (and other family members) can stay informed.
  • Sending the alerts above to your phone, which is what the notification token is for.
  • Showing a photo beside a name, so the right child — and the right teacher — is easy to recognise.

We never use your data for advertising, marketing, profiling, or sale to third parties. Ever.

3a. Service providers we rely on

To run the app we use a small set of trusted providers who process data only on our instructions, not for their own purposes:

  • Google — sign-in and push notifications.
  • Hosting provider — to run our servers.
  • Error-monitoring — to detect and fix crashes.
  • Email provider — to send school and account emails.

These are service providers (processors), not parties we “share” or “sell” data to. We do not give your data to advertisers or data brokers. Some of these providers run on servers outside India, so your data may be processed outside the country.

4. Who sees your data, and how long we keep it

Your data is visible only to:

  • The principal of your child’s school — for school operations.
  • Teachers of your child’s class — for their class’s students only.
  • Guardians linked to your child — for their linked children’s data only.
  • The person who operates NurseryNote — Jaskanwarpal Singh, named in Section 1 — for technical support and maintenance, on a strict need-to-see basis. There is no other staff today. If that changes, this policy changes with it.

Schools are expected to keep academic and administrative records, so we retain school records while your child is enrolled and for a reasonable period afterwards for audit and academic-history reasons. We do not keep your personal identifiers (name, email, phone) longer than needed — you can ask us to anonymize them at any time, and we do so automatically 30 days after you delete your account (see Section 5).

5. Your rights

Under the DPDPA you have the right to access, correct, and erase your personal data, to grievance redressal, and to nominate another person to exercise your rights if you die or become incapacitated.

Download your data

Request a full export of all data associated with your account at any time — surfaced as “Download My Data” in the app’s Settings. Limited to one request per day per user.

Delete your account

Delete your account at any time via “Delete My Account” in Settings. You can also request deletion by emailing hello@nurserynote.com. Your account becomes inaccessible immediately; after 30 days we automatically anonymize your personal details (see Section 4). Limited to one request per day per user.

Correct your data

Ask your school, or email us, to correct any wrong details.

Grievance & escalation

Write to our Grievance Officer (Section 8). If you’re not satisfied with how we handle it, you may complain to the Data Protection Board of India.

6. Children’s data

NurseryNote handles data about children under 18. Children do not log in — only schools, teachers, and guardians have accounts. As required by the DPDPA, we process a child’s data only on the basis of verifiable consent of a parent or guardian, collected by the school at enrolment, which the parent confirms by ticking the consent screen when they first sign in. We do not track, profile, behaviourally monitor, or run any advertising directed at children.

7. How we protect your data

  • Passwords: web-admin users (principals, teachers) sign in with a password, which we store only as a salted bcrypt hash — never in plain text. Parents sign in on mobile with Google, so no parent password is stored.
  • Transport: all traffic runs over HTTPS/TLS.
  • Isolation: every request is checked against your school before any record is returned, so one school’s users cannot reach another school’s data.
  • Access control: principals see their own school only; teachers see their own classes only; parents see their own children only.

We follow reasonable security practices appropriate to a service of this size.

7a. If something goes wrong (data breach)

If a personal-data breach affects you, we will notify you and the Data Protection Board of India without undue delay, in line with the DPDPA and its rules, and tell you what happened and what you can do.

We acknowledge within 72 hours and aim to resolve within 30 days. If unresolved, you may escalate to the Data Protection Board of India.

9. Changes to this policy

This policy carries a version and a date, both printed at the top of this page. The date moves whenever we change anything at all, including a typo. The version moves only when we change something that matters to you — if we start collecting something new, use your data for a new purpose, hand it to a new kind of service provider, keep it for longer, or send it to a new country.

When the version moves, we will ask you again — for the part that changed, not for the whole policy. Under India’s Digital Personal Data Protection Act, 2023, the consent you gave covers the purposes we described to you at the time; a new purpose needs a new agreement. Carrying on using NurseryNote is not an agreement to a new purpose, and we will not treat it as one.

We will tell you by email, at the address on your account. We will not promise you a notice inside the app, because today we cannot send one: alerts in NurseryNote are always sent within a single school, and no channel reaches everybody.
